We're looking for an organised and customer-focused Catering and Events Administration Assistant to support the day-to-day administration of catering, hospitality and events at St Cross College.

 

Working closely with the Conference and Events Manager, you'll be responsible for coordinating meal bookings, supporting formal dinners and hospitality events, managing dietary information and ensuring the smooth running of our catering administration systems. This is an excellent opportunity for someone who enjoys working in a busy environment where attention to detail and excellent customer service are key.

 

Key Responsibilities

  • Manage meal, dinner and hospitality bookings using the College booking system.
  • Respond to catering enquiries from members, staff and guests.
  • Prepare guest lists, seating plans, place cards and event documentation.
  • Maintain accurate dietary and allergen records and communicate these to catering teams.
  • Produce menus and coordinate catering communications.
  • Support administration of member meal accounts, hospitality charges and catering systems.
  • Assist with operational administration for formal halls, dinners, buffets and College events.
  • Work collaboratively with Catering, Events, Academic and Bursary teams to deliver an excellent service.
  • Maintain accurate records while supporting the College's commitments to equality, inclusion and sustainability.

 

About You

You'll be an organised administrator with excellent communication skills and a keen eye for detail. You'll enjoy working with people, be comfortable managing multiple priorities and be confident using IT systems.

 

You'll ideally have

  • Experience in an administrative, hospitality, catering or events environment.
  • Strong organisational and customer service skills.
  • Good working knowledge of Microsoft Office, particularly Word, Excel and Outlook.
  • Experience using booking or database systems.
  • The ability to work accurately, manage confidential information and adapt to changing priorities.
